Reservations
To secure your date for a private event, a refundable Date/Damage Deposit of $1000.00 is due along with the signed License Agreement and Facility Requirements Agreement. The deposit will be refunded within 30 days following the event, less any damage, extra staffing or clean up charges if applicable.
Billing
The refundable Date/Damage Deposit is due upon booking your event. The remaining Facility Use Fee and Security Fee is due (90) days prior to the event date. If the event is within (90) days of booking, then the entire balance is due upon signing of License Agreement. The refundable date/damage deposit is not applied to your rental balance.
Payment
All balances can be paid using Check, Cash or Credit Card.
There is a 3% added fee for all Credit Card transactions.
Security Officer
With all private event rentals a security officer is required. The Security Fee is $300.00.
This Austin Police Department representative is scheduled by Umlauf Sculpture Garden & Museum to make sure your event is secure and safe. This officer will be stationed in our parking lot and will ensure safe passage across Robert E. Lee to and from our overflow parking area. They will also do a final sweep of the grounds after the event and must stay until the gates are locked upon exit.
Cancellation
There is a grace period of (7) days from the date of issue of License Agreement to cancel the event with no penalty. After that time, the Licensee forfeits the entire deposit.
- (1) year – (180) days prior to the event date the Licensee forfeits Deposit
- (180) days – (90) days prior to the event date the Licensee forfeits Deposit + 50% of Facility Use Fee
- Less than (90) days prior to the event date the Licensee forfeits Deposit + 100% of Facility Use Fee
Rentals
Umlauf Sculpture Garden & Museum does not provide any rental equipment besides the items listed on the Facility Requirements Agreement. All rentals, including but not limited to, tables, chairs, tents, decorations, catering equipment must be picked up immediately following the event and within the rental contract time period. Any late pick-up or early load-in of any items will result in loss of entire deposit.
Rental Timeframe
Since we are a museum and are open to the public, the hours noted in your License Agreement are the maximum rental hours INCLUDING load-in and load-out. For most rentals these hours are 4pm to 11pm. Your event must end no later than 10pm with breakdown by event vendors starting at this time. All amplified sound must end at 10pm as well.
Staffing
Umlauf Sculpture Garden & Museum requires at least (1) Museum Event Staff and (1) Security Guard to be present throughout the duration of your rental. The Director of Operations may deem more Museum Event Staff and/or Security Guards are needed for specific events in which the Licensee will be responsible for added costs. The museum event staff is not a wedding / event coordinator and will not be available to licensee prior to the start of the event. Our staff is only on-site to protect the best interest of the museum and to insure proper procedures are followed.
Alcohol
Umlauf Sculpture Garden & Museum does not host its own liquor license. All Texas Alcoholic Beverage Commission (TABC) Laws shall be followed while on premises. ALL ALCOHOL must be served by a licensed and bonded TABC certified bartender. Alcoholic beverages shall not be sold on the Premises under any circumstances. Licensee may purchase alcohol for the event and have it delivered as long as it is within the rental timeframe and a coordinator is on-site to accept it.
Rental Coordinator
Although it is not required, a professional coordinator is highly recommended for your event. We do however require that there be a point of contact on-site for each vendor arrival the day of the event who has been involved in the location walk throughs regarding set up. Our Museum Event Staff does not act as coordinator for the event (load in / load out, set-up, storing personal items, gifts, etc.)
Parking
Umlauf Sculpture Garden & Museum has 18 parking spots within our gated area. There is overflow parking across Robert E. Lee which can facilitate events up to 200 guests. Umlauf Sculpture Garden & Museum is not responsible for any vehicles which park in the overflow lot. Our security officer will stop traffic to help guests cross the street at the designated pedestrian walkway before and after the event.
Decorations
Rice, glitter, confetti, streamers, silly string, fireworks, helium balloons, birdseed or seeds of any kind are not allowed. The use of tape, wire, staples, tacks, glue and similar wall penetrable items are strictly prohibited and may not be attached to any Umlauf Sculpture Garden & Museum surface. Flower petals must be swept or raked up.
Art/Exhibits
Umlauf Sculpture Garden & Museum is a museum of rotating art which is subject to change without notification. Art/Exhibits cannot be moved, removed, covered or added to for private events.
